    Privacy Policy

    How we collect, use, store and protect the information you entrust to the Association.

    1. Introduction

    The Methodist Boys' High School, Lagos Old Boys' Association (“the Association”, “we”, “us”) operates this website and the membership database that supports it. We take the privacy of our members seriously, and this policy explains what information we hold, why we hold it, how it is protected, and the rights you have over it.

    This policy applies to visitors to the website and to registered members. It should be read together with our Terms of Service.

    2. Information We Collect

    When you apply for membership, we ask you to provide:

    • Your name, including any middle name
    • Your email address and telephone number
    • Your set or year of graduation, and your school house
    • The chapter you wish to be associated with, and your country of residence
    • A password, which is stored only in encrypted (hashed) form and is never visible to us

    Once your membership is approved, you may choose to add further details to your profile — a photograph, date of birth, occupation, employer, a short biography, your address and city, and links to your social media accounts. These additional details are optional, and you decide who can see each of them.

    We also record information generated by your use of the website, such as the date you registered, the date you last signed in, events you register for, messages you send us through the contact form, and administrative actions taken on your account. Our servers and hosting providers keep standard technical logs, which may include your IP address.

    3. How We Use Your Information

    We use the information described above in order to:

    • Verify that an applicant is genuinely an Old Boy of the school, and administer the approval of new members
    • Maintain an accurate register of the membership of the Association
    • Operate the member directory and the public membership confirmation search
    • Communicate with you about Association news, events, announcements and meetings
    • Organise and administer events, including registration and attendance
    • Respond to enquiries you send us
    • Protect the security of the website and investigate misuse of member accounts

    We do not sell your personal information, and we do not share it with third parties for their own marketing purposes.

    4. The Member Directory and Public Search

    The website provides two separate ways of finding members, and they disclose very different amounts of information.

    The member directory is available only to signed-in, approved members. It shows the profile details you have chosen to make visible to fellow members. You control this from the Privacy Settings page of your account, field by field, and you may remove yourself from the directory entirely at any time.

    The public membership searchis available to anyone visiting the website. It exists so that a person can confirm that someone is a member of the Association — nothing more. It returns only a member's name and set year. It never discloses email addresses, telephone numbers, postal addresses, occupations, photographs or any other personal detail, and it cannot be searched using an email address or a telephone number. Members who have opted out of the directory are excluded from it, and applicants whose membership has not yet been approved never appear in it.

    5. How Your Information Is Stored and Protected

    Member records are held in an access-controlled database. Passwords are stored as one-way cryptographic hashes and cannot be read or recovered by anyone, including our administrators. Traffic between your browser and the website is encrypted in transit.

    Access to the full membership record — including contact details — is restricted to authorised officers and administrators of the Association who need it to carry out their duties. Administrative actions on member records are logged. Uploaded images are held with our image hosting provider, and email is delivered through a third-party email service; both act on our instructions.

    No system can be guaranteed to be completely secure. We work to protect your information using appropriate technical and organisational measures, and we will notify you and the relevant authority where we are required to do so in the event of a breach affecting your personal data.

    6. How Long We Keep It

    Because the Association maintains a historical register of Old Boys, membership records are ordinarily retained for as long as you remain a member and afterwards as part of the Association's permanent records. You may ask us to remove optional profile details, to withdraw you from the directory and the public search, or to close your account, at any time.

    7. Cookies

    We use cookies that are necessary for the website to work — principally to keep you signed in and to protect forms against cross-site request forgery. We do not use cookies to build advertising profiles. You can block cookies in your browser, but you will not be able to sign in to member areas if you do.

    8. Your Rights

    Under the Nigeria Data Protection Act 2023 and comparable laws that may apply to members living abroad, you have the right to:

    • Ask what personal information we hold about you, and request a copy of it
    • Ask us to correct information that is inaccurate or incomplete
    • Ask us to delete information we no longer need to hold
    • Object to, or ask us to restrict, particular uses of your information
    • Withdraw your consent to optional communications, including by using the unsubscribe link in any email we send
    • Lodge a complaint with the Nigeria Data Protection Commission

    Much of this can be done directly from your account. For anything else, write to us using the details below and we will respond within a reasonable period.

    9. Children

    The website is intended for Old Boys of the school and is not directed at children. We do not knowingly collect personal information from anyone under the age of 18.

    10. Changes to This Policy

    We may update this policy from time to time. The date at the top of this page shows when it was last revised, and material changes will be communicated to members through the website or by email.
